AI for title & escrow — faster files, fewer status calls, zero dropped balls
Custom CRM and AI automation for Utah closing teams. Kill the 14-tab spreadsheet, stop the status-call flood, and give every party real-time visibility — without adding headcount.
Industry estimate based on manual workflow audits. On a 20-minute call we'll map your real numbers.
THE REAL COST OF THE OLD WAY
Title and escrow ops pain — before AI.
Three friction points every closing team recognizes immediately.
STATUS CALL OVERLOAD
Closers spend hours answering “where are we?”
Every buyer, agent, and lender wants a status update — and every one of those calls interrupts a closer mid-file. The result: slower closings and a frustrated team.
MANUAL DOCUMENT INTAKE
Chasing docs across 6 channels.
Email, fax, portal, text, drive link, walk-in scan. Reconciling what arrived, what's missing, and what version matters eats an hour before the real work starts.
PIPELINE IN A SPREADSHEET
14 tabs isn't a workflow — it's a liability.
When the closer who built the sheet is out sick, nobody can read it. Deadlines slip, nothing surfaces proactively, and every exception is a fire.
WHAT THE AI HANDLES
Workflow automation built for closing teams.
Not a chatbot add-on. Purpose-built automations mapped to how title and escrow actually works.
Automated status dispatches
Triggered updates sent to buyers, agents, and lenders at each milestone — title commitment, clear to close, recording confirm. Zero manual emails.
Document intake + gap detection
AI monitors incoming files across every channel, names them consistently, and surfaces a checklist of what's still missing — before you have to ask.
Pipeline on one screen
Every file — open, pending, cleared, funded — visible at a glance. Sortable by closer, by date, by exception. No spreadsheet required.
Deadline and exception alerts
Commitment expirations, wire cut-off windows, HOA payoff deadlines. The system surfaces the risk before it becomes a call from the lender.
Compliance-aware client comms
Message templates reviewed against RESPA/CFPB plain-language standards. No accidental advice, no ambiguous instructions — just clear, documented touchpoints.
Closer performance dashboard
Files per closer, average time-to-close, exception rate, client satisfaction markers. Data that helps you staff and scale without guesswork.
COMPLIANCE POSTURE
Built with regulatory reality in mind.
Title and escrow sits at the intersection of RESPA, CFPB Regulation X, and state-specific closing regulations. We don't pretend otherwise. Every automated communication template is reviewed against plain-language RESPA requirements before it ships.
The AI handles administrative coordination — status updates, document checklists, deadline reminders — never settlement advice, disbursement instructions, or anything that touches the legal or fiduciary layer. That line is hard-coded into every template and workflow rule.
Every automated message is logged, timestamped, and auditable. If your compliance officer or E&O carrier needs to review a specific communication, it's in the system with a full trail.
RESPA / Reg X
Plain-language templates, no kickback language, documented settlement service references.
CFPB TRID
CD/LE timelines surfaced automatically. No missed 3-day disclosure windows.
Wire fraud prevention
No wire instructions in automated messages — ever. That decision stays with your team.
Data ownership
Your data lives in your Supabase instance. No shared infrastructure. Full schema export on request.

HOW WE BUILD
Three forged steps to a system your team actually uses.
PLAN
Map your current workflow
We interview your closers, document every handoff, and identify the three biggest friction points. You walk away with a clear picture even if we never build a thing.
BUILD
Build the custom CRM layer
We build against your real data structure — not a generic SaaS template. Pipeline views, automation rules, doc intake, and status messaging wired to your actual process.
SHIP
Train, migrate, and hand you the keys
Your team gets trained on day one. We migrate your open files. You own the system — no recurring platform fees, no vendor lock-in.
COMMON QUESTIONS
Everything closing teams ask before they start.
More questions? Book a 20-minute discovery call — no obligation.
Off-the-shelf CRMs are built for sales teams. Your workflow is built around file compliance, multi-party coordination, and regulatory documentation. We build the CRM against your actual process — pipeline stages match your transaction flow, automations fire on your real milestones, and nothing asks you to adapt your workflow to fit the software.
Integration is the first conversation we have. Most title-production software exposes enough data via export or API that we can pull file status into the CRM layer. We don't replace your title software — we add the coordination, communication, and visibility layer on top of it.
The AI handles administrative communications — status updates, document checklists, deadline reminders — not legal or settlement advice. Message templates are reviewed against RESPA plain-language and CFPB guidance before they go live. Every automated message is logged and auditable. If you have specific compliance requirements or a legal review process, we build that gate into the approval workflow.
You own it — completely and permanently. We build on your Supabase instance (a Postgres database you control) hosted in your Vercel project. We never hold your data on shared infrastructure. When the engagement ends, you have the full schema, all records, and the codebase. There is no data hostage.
Typically 5–8 weeks from kickoff to live. The first two weeks are workflow mapping and design. Weeks three through seven are build and iteration. The final week is training, data migration for open files, and go-live. We don't go live until your team signs off.
It's an ideal size. A team that size is big enough to feel the coordination pain acutely but small enough that we can map the entire workflow in a single afternoon. The ROI case is usually obvious by the end of the discovery call — five hours per closer per week recovered pays for the system in the first quarter.
Pricing depends on the scope of the build — number of pipeline stages, automation rules, integrations, and team size. Most title and escrow builds land in our Engine tier. We give you a fixed quote after a 20-minute discovery call, so there's no estimate ambiguity — and you'll see the full tier structure on our pricing page.
Our current client base is in Utah, and we operate with a St. George/Southern Utah beachhead. We take select clients outside the state when the fit is strong and the workflow is well-defined. If you're outside Utah, reach out — the conversation costs nothing.
